Sending an Invoice Through PayPal: A Step-by-Step Guide

When it comes to sending an invoice through PayPal, there are several steps you can follow to ensure that your payment process runs smoothly. In this article, we'll walk you through the process of sending an invoice through PayPal and receiving payments.

Once PayPal has processed the payment, you'll see a 'Payment Received' status. Your invoice will show a payment status of 'Payment Processing' once your client makes a payment using PayPal. While payments are pending or being processed, FreeAgent will stop sending late payment reminders. Your invoices will be automatically marked as paid once the payment has been received.

With API access/Express Checkout enabled, payments made to you will be reflected in your FreeAgent PayPal account automatically. Additionally, if you tick the ‘Guess bank transactions’ checkbox, FreeAgent will ensure that the PayPal fees are split out and explained automatically for you.

When sending an invoice via email, your customer can follow the online payment link, which will show them your invoice along with the option to pay by PayPal. Alternatively, you can share the payment link with your customer rather than sending them the invoice.

To include a PayPal button in your invoice emails, select the checkbox next to 'Include online payment button below content' or include an tag in the body of the email. You can also set up default payment options so that PayPal is selected by default when creating future invoices.

Before you start sending invoices through PayPal, make sure you've added a PayPal account in FreeAgent. To add a PayPal link to your invoices, follow these additional steps:

1. Log into your FreeAgent account and navigate to the 'Payments' section.

2. Select the 'PayPal' checkbox next to the payment type you want to use.

3. Create your invoice as normal.
